Job Summary:
We are seeking a customer-focused and detail-oriented Customer Service and Order Management Specialist to serve as a primary point of contact for customers and vendors. This role manages customer inquiries from initial contact through resolution while supporting order fulfillment, tracking, returns, refunds, shipping, and billing.
The ideal candidate has strong communication and organizational skills, experience with customer service, order fulfillment, or e-commerce, and is comfortable working across multiple systems. Experience with NetSuite, accounts payable/receivable, and shipping carriers is preferred.
Duties Include:
- Respond to customer and vendor calls and emails and resolve issues promptly.
- Manage customer cases and orders in NetSuite.
- Track shipments, coordinate deliveries, and communicate updates to customers.
- Process returns, refunds, and freight claims.
- Assist with accounts payable, accounts receivable, invoicing, and reconciliations.
- Coordinate with vendors, carriers, and warehouse teams.
- Monitor and reconcile inventory.
- Maintain accurate documentation and confidential customer/payment information.
- Identify opportunities to improve processes and reduce repetitive work.
Qualifications:
- 1–3 years of experience in customer service, order fulfillment, or e-commerce operations.
- Strong verbal and written communication skills.
- Excellent organization and attention to detail.
- Experience with an ERP or order management system;Â NetSuite preferred.
- Basic knowledge of accounts payable and accounts receivable.
- Proficiency with email, spreadsheets, and standard office software.
- Ability to manage multiple priorities and remain professional when handling customer concerns.
- High school diploma or equivalent required; business/accounting coursework preferred.
- Familiarity with FedEx, UPS, LTL freight, or AI tools such as ChatGPT is a plus.
